TERMS AND CONDITIONS

A LEGAL DISCLAIMER

By entering, participating in, supporting or otherwise taking part in the FOOTPRINTS Ultra Relay (“FOOTPRINTS”, “the Event”), you confirm that you have read, understood and agreed to these Terms & Conditions.

FOOTPRINTS is an ultra-distance relay event covering approximately 360 kilometres, completed by teams of six participants, over one weekend, from Sutherland.

The Event is organised by FullSend Running (“the Organiser”).

ENTRY & ELIGIBILITY

1.1 Entry to FOOTPRINTS is available to teams consisting of six (6) registered participants, unless otherwise specified by the Organiser.

1.2 Every participant must complete the official registration process and provide all information requested by the Organiser.

1.3 Each participant must meet the minimum age requirement of18 years on the date of the Event.

1.4 The Organiser reserves the right to refuse or withdraw an entry where a participant does not meet the Event's eligibility requirements.

1.5 An entry is only confirmed once full payment has been received and the Organiser has confirmed the team's entry.

1.6 Entries are non-transferable unless a team member substitution is expressly permitted by the Organiser and completed through the official substitution process.

1.7 A participant may only participate as the registered person associated with their race number, timing device and/or other identification.

NATURE OF FOOTPRINTS

2.1 FOOTPRINTS is an ultra-distance team relay and is not a conventional road race.

2.2 Participants acknowledge that the Event involves running and travelling through potentially remote, mountainous, rural, urban and/or public environments, including sections completed at night.

2.3 The Event may involve uneven surfaces, trails, roads, crossings, traffic, darkness, weather exposure, steep or technical terrain and other natural or man-made hazards.

2.4 Participants are responsible for preparing themselves physically and mentally for the demands of the Event.

2.5 The Organiser may amend the route, distance, timing, checkpoints, transition points or other operational aspects of the Event where reasonably necessary for safety, access, environmental, logistical, regulatory or other operational reasons.

TEAM RESPONSIBILITY

3.1 Each team is responsible for ensuring that all six members understand and comply with these Terms & Conditions and the Event Rules.

3.2 Teams are responsible for their own internal organisation, including:

  • determining running order;

  • allocating running legs;

  • ensuring that a suitable participant is available at each handover;

  • managing rest and recovery between legs;

  • ensuring that all team members remain contactable;

  • ensuring that all required equipment is available;

  • complying with all Event cut-offs and instructions.

3.3 A team's participation does not remove the individual responsibility of each participant to comply with the Event Rules.

3.4 The Organiser may hold a team responsible for breaches committed by any member of that team where such breach affects the safety, fairness or operation of the Event.

ROUTE & NAVIGATION

4.1 FOOTPRINTS may use public roads, paths and areas that are not exclusively closed to the public.

4.2 Participants must obey all traffic laws and road rules.

4.3 Participants must give way to vehicles and other road users where required.

4.4 The Organiser does not guarantee that every section of the route will be free from vehicles, pedestrians, cyclists, animals or other road users.

4.5 Participants must follow instructions from marshals, traffic officials, police, emergency personnel and Event officials at all times.

4.6 Failure to comply with traffic instructions may result in immediate withdrawal or disqualification.

4.7 A substantial portion of FOOTPRINTS may take place during hours of darkness.

4.8 Participants are responsible for carrying and using appropriate lighting and reflective equipment as specified in the compulsory gear requirements.

4.9 The Organiser may refuse a participant permission to continue if they do not have the required lighting, reflective equipment or other safety equipment.

4.10 Participants must exercise additional caution when running at night and must remain aware of their surroundings, terrain, traffic and other hazards.

MEDICAL FITNESS & RISK

5.1 By entering FOOTPRINTS, each participant confirms that they are physically and medically capable of participating in an ultra-distance relay.

5.2 Participants acknowledge that ultra-distance running carries inherent risks.

5.3 Participants voluntarily accept these risks.

5.4 Participants must not participate if they are aware of a medical condition, injury or other circumstance that makes participation unsafe.

5.5 If a participant becomes injured, unwell or otherwise unable to safely continue, they must stop and notify the Organiser or Event medical personnel as soon as reasonably possible.

5.6 The Event Medical Team and/or Event Officials may require a participant to withdraw from the Event where they reasonably believe continued participation presents a risk to that participant or others.

5.7 The decision of the Event Medical Team regarding a participant's ability to continue may be final.

EMERGENCIES

6.1 Participants must assist another participant who appears to be in serious danger where it is safe and reasonable to do so.

6.2 Participants must report serious incidents, injuries or emergencies to the Organiser as soon as possible.

6.3 Participants may be required to stop their own participation to assist another participant during an emergency.

6.4 The Organiser may neutralise, suspend, reroute or terminate sections of the Event in response to an emergency.

EVENT SAFETY AND THE ORGANISER'S AUTHORITY

7.1 The Organiser reserves the right to delay, modify, shorten, reroute, suspend or cancel the Event or any part thereof where it considers this necessary.

7.2 This may include circumstances involving:

  • severe weather;

  • fire;

  • flooding;

  • road closures;

  • environmental conditions;

  • safety concerns;

  • civil unrest;

  • emergency situations;

  • land access;

  • government or authority requirements;

  • insufficient medical or emergency resources;

  • or any other circumstance outside the reasonable control of the Organiser.

7.3 Participants must comply immediately with instructions issued by Event officials.

7.4 The Organiser's primary consideration in making operational decisions will be participant, staff, volunteer and public safety.

ENTRY CANCELLATION, REFUNDS AND TEAM CHANGES

8.1 Entry fees are used to secure Event infrastructure, permits, medical services, logistics, staffing, timing, route preparation and other Event costs.

8.2 Cancellation and refund terms will be communicated:

  • Cancellation before 8 September: 25% refund

  • Cancellation between

  • Cancellation after 8 September: no refund

8.3 Any refund may be subject to an administration fee.

8.4 Team member substitutions may be permitted up to [DATE], subject to approval by the Organiser.

85 Team substitutions after the published deadline will only be considered in exceptional circumstances and at the discretion of the Organiser.

8.6 A substitution does not automatically entitle the original participant to a refund.

8.7 Entries may not be sold, transferred or exchanged privately without approval from the Organiser.

EVENT CANCELLATION

9.1 The Organiser reserves the right to cancel or materially alter the Event where circumstances make it unsafe, unlawful or impractical to proceed.

9.2 Where possible, the Organiser will communicate cancellation or material changes as early as reasonably practicable.

9.3 In the event of cancellation, the Organiser will determine the applicable refund, credit, transfer or other participant remedy having regard to the circumstances of the cancellation and costs already incurred.

9.4 The Organiser will not be liable for travel, accommodation, equipment, training, lost income or other costs incurred by participants or support crews as a result of Event cancellation, postponement or alteration.

9.5 Participants are strongly encouraged to obtain their own appropriate travel and event cancellation insurance.

INSURANCE

10.1 Participants participate at their own risk and are responsible for arranging any personal accident, medical, travel or other insurance they consider necessary.

10.2 Participants acknowledge that the Organiser's Event insurance, if applicable, does not necessarily cover personal medical expenses, personal property, travel costs, loss of income or other individual losses.

CHANGES TO EVENT RULES

11.1 The Organiser may amend the Event Rules where reasonably necessary for safety, operational, environmental, legal or logistical reasons.

11.2 Material changes will be communicated to participants where reasonably practicable.

11.3 Participants are responsible for familiarising themselves with the latest Event Rules before and during the Event.

ACCEPTANCE

By completing registration and/or participating in FOOTPRINTS, I confirm that:

  • I have read and understood these Terms & Conditions;

  • I agree to comply with the Event Rules;

  • I understand the risks associated with ultra-distance running and participation in FOOTPRINTS;

  • I accept responsibility for my own safety and conduct;

  • I confirm that the information provided during registration is accurate;

  • I agree to follow the instructions of Event Officials, medical personnel and emergency services;

  • I understand that failure to comply with the rules may result in penalties, withdrawal or disqualification; and I agree to these Terms & Conditions.
